1. Scope and Acceptance of Terms
1.1 These Booking Terms and Conditions (hereinafter referred to as "these Terms") apply to any inquiry, booking, purchase, or participation in travel products, private customized itineraries, group tours, destination experiences, transportation, accommodation, guiding, and other related services organized, sold, coordinated, or arranged by MeetChina through the MeetChina website, email, instant messaging tools, third-party platforms, or other channels.
1.2 By accessing this website, submitting a booking request, paying a deposit or any fees, signing an order, or actually participating in an itinerary, you acknowledge that you have read, understood, and agreed to be bound by these Terms. If you are booking on behalf of other fellow travelers, you confirm that you have obtained their full authorization and undertake to communicate these Terms and important itinerary-related information to them.
1.3 In the event of any inconsistency between these Terms and a specific itinerary confirmation, quotation, or written supplementary agreement, the specific itinerary document confirmed in writing by both parties shall prevail; however, clauses regarding limitation of liability, risk warnings, cancellations and refunds, dispute resolution, and personal information processing shall continue to apply unless otherwise explicitly agreed in writing.
2. Definitions
● "MeetChina," "we," or "the Company" refers to MeetChinatour Limited and its authorized representatives.
● "Traveler," "you," or "Customer" refers to the individual submitting the booking, making the payment, or participating in the itinerary, as well as the fellow travelers on whose behalf the booking is made.
● "Itinerary" refers to travel products, private customized tours, group tours, experience activities, or related travel services sold, organized, coordinated, or arranged by MeetChina.
● "Total Tour Fee" refers to the total price of the itinerary confirmed by both parties, excluding personal expenses not explicitly included in the quotation (e.g., visa fees, insurance, international airfare, tips, optional projects, payment processing fees, exchange rate differences, and other extra costs).
● "Third-Party Suppliers" refers to independent third parties that actually provide services, such as hotels, airlines, railway companies, vehicle companies, shipping companies, scenic spots, restaurants, tour guides, local ground handlers, insurance companies, and rescue service providers.
● "Force Majeure" refers to events beyond the reasonable control of both parties that are unforeseeable, or even if foreseeable, unavoidable or insurmountable. This includes, but is not limited to, natural disasters, extreme weather, epidemics or public health events, war, terrorism, civil unrest, strikes, government restrictions, border closures, traffic control, large-scale cancellation of flights or trains, closure of scenic spots, policy changes, and other similar events.
3. Quotations, Itinerary Information, and Booking Confirmation
3.1 MeetChina will provide a quotation based on the requirements, number of people, dates, accommodation standards, transportation methods, activity preferences, and other information provided by you. Unless otherwise stated in the quotation, prices are generally based on double occupancy, a specified number of people, specified dates, specified room types, specified service levels, and supplier prices available at the time of quotation.
3.2 The validity period of the quotation is as stated in the quotation document; if not stated, it is valid for 7 days after the quotation is sent. Expiration of validity, changes in supplier prices, exchange rate fluctuations, tax adjustments, changes in available resources, or changes in customer requirements may all lead to price adjustments.
3.3 Descriptions of images, timings, transportation, hotels, attractions, dining, and activities in the itinerary are reasonable estimates or planned arrangements. MeetChina will make reasonable efforts to ensure the accuracy of the information, but itineraries may need adjustment due to transport schedules, government policies, scenic spot regulations, weather, road conditions, supplier arrangements, or other operational factors.
3.4 A booking is established only after MeetChina provides written confirmation and receives the corresponding deposit or full payment. MeetChina reserves the right to refuse or adjust a booking before it is established due to sold-out resources, price changes, supplier refusal to confirm, failure to meet the minimum group size, or other reasonable grounds.
4. Inclusions and Exclusions
4.1 Included items are subject to the specific quotation or itinerary confirmation and typically include specified accommodation, local transportation, Chinese or English speaking guide services, some meals, entrance fees, activity fees, and services explicitly listed in the itinerary.
4.2 Unless explicitly listed in the quotation, the following costs are generally NOT included in the Total Tour Fee: international or domestic airfare, visa fees, passport fees, travel insurance, personal expenses, laundry, telephone calls, beverages, overweight baggage fees, tips, single room supplements, optional projects, unlisted meals, extra transportation or accommodation due to personal reasons, payment platform fees, bank charges, exchange rate differences, and new fees charged by governments, suppliers, or third parties.
4.3 If a customer requests upgrades to hotels, room types, vehicles, guides, dining, activities, or other services, or if extra costs are incurred due to customer-related reasons, the customer shall bear the corresponding price difference and expenses.
5. Payment Arrangements
5.1 Unless otherwise agreed in writing by both parties, the customer shall pay a deposit of USD 300 per person at the time of booking. The deposit will be used to secure hotels, guides, vehicles, activities, and other supplier resources, and will be deducted from the final payment.
5.2 The balance must be paid in full 45 days before the departure date. If the booking date is less than 45 days from the departure date, the customer shall pay the full amount in one lump sum upon booking confirmation.
5.3 If the customer fails to pay any amount on time, MeetChina reserves the right to suspend itinerary arrangements, release supplier resources, cancel the booking, and charge applicable cancellation fees in accordance with the cancellation and refund policy in these Terms.
5.4 Customers should ensure that payment information is true, valid, and legal. Delays or costs caused by banks, credit card organizations, payment institutions, exchange rates, cross-border payments, anti-money laundering reviews, payment failures, or chargebacks shall be borne by the customer, except those caused by the fault of MeetChina.
6. Customer Cancellation and Refund Policy
6.1 Any cancellation by the customer must be notified to MeetChina in writing. The cancellation date shall be the date on which MeetChina actually receives the customer's written cancellation notice.
6.2 Unless otherwise specified in a more stringent or favorable agreement in the specific itinerary confirmation, the following cancellation fees apply to cancellations made by the customer for personal reasons:

Cancellation Fee Standard: USD 300 deposit per person is non-refundable
Explanation: The deposit is used to compensate for incurred booking, communication, resource locking, and administrative costs.
[30 to 45 days before departure]
Cancellation Fee Standard: 20% of the Total Tour Fee
Explanation: The paid deposit can be deducted from the cancellation fee; if the paid amount is insufficient, the customer shall pay the difference.
[11 to 29 days before departure]
Cancellation Fee Standard: 50% of the Total Tour Fee
Explanation: Applicable when supplier resources have been largely secured.
[Within 10 days of departure (inclusive) or after the itinerary has started]
Cancellation Fee Standard: 100% of the Total Tour Fee
Explanation: In principle, no cash refund will be provided; MeetChina may, at its discretion, provide future travel credits based on actual supplier refund results.
6.3 Cancellation fees are calculated based on the Total Tour Fee. The paid deposit will be deducted from the corresponding cancellation fee; if the applicable cancellation fee is lower than the paid deposit, the deposit remains non-refundable. If the applicable cancellation fee is higher than the amount already paid, the customer shall pay the difference. MeetChina will not double-charge for the same cost.
6.4 For high-end customized itineraries, peak season resources, private hotel buyouts, non-refundable air or train tickets, specially hired guides or drivers, special activities, permits, scenic spot reservations, third-party experiences, or other non-cancellable/non-refundable items, if the third-party supplier's rules are higher than the above cancellation fee standards, the customer shall bear these unrecoverable costs. MeetChina will provide relevant explanations or vouchers within a reasonable and feasible range.
6.5 For cancellations within 10 days before departure, the cancellation fee is in principle 100% of the Total Tour Fee. If a customer cancels due to serious illness, accidental injury, major life events of immediate family members, or other special circumstances and can provide reasonable proof, MeetChina may, at its discretion, provide partial future travel credits based on actual supplier refund results and operational conditions. Travel credits do not constitute a cash refund obligation; their amount, validity, applicable products, and restrictions are subject to written confirmation by MeetChina.
6.6 Once a cancellation is confirmed and the final refundable amount is determined in accordance with these Terms, MeetChina will process the refund back to the customer's original payment method (such as the original credit card, debit card, or Stripe account) within seven (7) to fourteen (14) business days. Customers will receive an automated email confirmation from MeetChina once the refund has been initiated. Please note that the actual arrival time of the funds into your account may vary depending on the processing cycles of your issuing bank, card organization, or financial institution, which is beyond MeetChina’s direct control. Whether payment platform processing fees, currency exchange losses, or bank charges are refundable depends entirely on the operational rules of the respective payment gateways and financial institutions.
7. MeetChina Cancellation, Rescheduling, and Minimum Group Size
7.1 MeetChina reserves the right to cancel, reschedule, or adjust itineraries due to insufficient minimum group size, inability of suppliers to confirm, significant changes in prices or resources, security risks, government policies, force majeure, or other reasonable operational reasons.
7.2 If MeetChina cancels an itinerary that has not yet started for reasons not related to the customer and not due to force majeure, the customer may choose to accept an alternative itinerary, reschedule, receive travel credits, or receive a refund of the paid but unused itinerary fees.
7.3 Section 9 of these Terms applies if the itinerary cannot proceed as planned due to force majeure or events beyond MeetChina's reasonable control.
8. Itinerary Changes, Alternative Services, and Unused Services
8.1 MeetChina will make reasonable efforts to provide services according to the confirmed itinerary. However, due to transport schedules, road conditions, weather, closure of scenic spots, government policies, supplier adjustments, holiday controls, public safety, or other operational factors, MeetChina may reasonably adjust the itinerary sequence, transportation methods, hotels, restaurants, activities, or visiting points without lowering the overall service standard.
8.2 If originally scheduled hotels, vehicles, attractions, restaurants, or activities cannot be provided, MeetChina will make reasonable efforts to arrange services of the same level or reasonable alternatives. If the cost of the alternative service is lower than the original and MeetChina actually receives a refund, MeetChina will refund the difference or credit it as travel gold after deducting reasonable costs. If the cost of the alternative service is higher, whether a price difference needs to be paid shall be confirmed by both parties in writing.
8.3 In principle, no refunds will be provided for services not used by the customer due to their own reasons such as being late, absence, leaving the group, early departure, refusal to participate, health conditions, document issues, visa issues, violation of laws and regulations, or non-cooperation with safety requirements.
9. Force Majeure and Events Beyond Control
9.1 In the event of force majeure or events beyond the reasonable control of both parties that prevent the itinerary from starting, continuing, or require major adjustments, MeetChina has the right to take measures such as rescheduling, adjusting routes, providing alternative services, canceling certain projects, issuing travel credits, or providing refunds based on the actual situation.
9.2 If the itinerary has not yet started, MeetChina will refund the balance or provide travel credits at the customer's choice after deducting incurred and unrecoverable third-party supplier costs, fees for services already provided, and reasonable administrative costs.
9.3 If the itinerary has been partially performed, MeetChina will handle the remaining funds after deducting fees for services already performed, incurred costs, unrecoverable third-party costs, and reasonable additional expenses incurred to protect traveler safety.
9.4 Additional costs for accommodation, dining, transportation, visas, medical care, evacuation, communication, rescheduling, or other expenses arising from force majeure shall be borne by the customer, unless otherwise mandated by law or committed to in writing by MeetChina. MeetChina will assist customers in communicating with suppliers, insurance companies, or relevant institutions within a reasonable and feasible range.
10. Risk Warning and Voluntary Assumption by Traveler
10.1 Travelers acknowledge that travel, especially cross-border travel, travel to remote areas, outdoor activities, high-altitude activities, hiking, cycling, boating, long-distance driving, and other experience projects, may involve inherent risks different from daily life.
10.2 Such risks include but are not limited to: differences in standards of roads, vehicles, vessels, hotels, or facilities; high-altitude sickness; weather changes; traffic delays or accidents; illness, injury, or insufficient emergency medical resources; inability to evacuate in a timely manner; political or social events; theft; risks from flora, fauna, terrain, water bodies, or outdoor environments; physical exertion; alcohol consumption or errors in personal judgment; and the actions of third-party suppliers or other personnel.
10.3 Customers should choose itineraries suitable for their age, health status, physical fitness, experience, risk tolerance, and interests, and comply with safety tips from guides, drivers, suppliers, scenic spots, local governments, and MeetChina.
10.4 This risk warning does not exclude or limit the liability of MeetChina that cannot be excluded or limited by law, including liability for death or personal injury caused by MeetChina's own negligence, liability for fraud, liability for intentional misconduct, or other liabilities that are prohibited by law from being excluded.
11. Third-Party Suppliers and MeetChina's Liability
11.1 MeetChina organizes, promotes, sells, and coordinates travel products and may procure or book accommodation, transportation, dining, scenic spots, activities, guides, insurance, rescue, and other travel services from third-party suppliers. Third-party suppliers are independent contractors and are not employees, agents, or partners of MeetChina.
11.2 MeetChina will exercise reasonable care in selecting, booking, and coordinating suppliers. For services provided directly by third-party suppliers, MeetChina is not responsible for acts, omissions, delays, cancellations, service defects, accidents, or losses beyond its reasonable control; however, if the loss is directly caused by MeetChina's failure to exercise reasonable care, MeetChina shall bear corresponding liability in accordance with the law.
11.3 To the maximum extent permitted by law, MeetChina is not liable for the following losses: losses caused by the customer's personal reasons; losses caused by the customer's violation of laws, regulations, visa conditions, or safety instructions; acts or omissions of third-party suppliers outside MeetChina's reasonable control; losses caused by force majeure; non-refundable airfare, visa fees, equipment fees, medical fees, or other indirect expenses incurred by the customer in preparation for travel; loss of profit, loss of goodwill, mental distress, punitive damages, or indirect, incidental, or special losses, except as otherwise mandated by law.
11.4 Nothing in these Terms is intended to exclude or limit liability that cannot be excluded or limited by law. If any limitation of liability clause is found to be invalid or unenforceable, it shall not affect the validity of other clauses.
12. Traveler Responsibility, Code of Conduct, and Safety Cooperation
12.1 Travelers shall assemble on time, comply with itinerary arrangements, respect local laws, culture, religion, customs, and public order, and properly take care of personal property, documents, valuables, and medications.
12.2 Travelers shall not engage in illegal, dangerous, harassing, abusive, violent, discriminatory, out-of-control drinking, property destruction, or behavior that affects the safety or experience of other travelers.
12.3 If a traveler's behavior may endanger themselves, other travelers, guides, drivers, suppliers, or public safety, or seriously affects the normal progress of the itinerary, MeetChina or its representatives have the right to take reasonable measures, including refusing the traveler's continued participation in part or all of the itinerary, requiring the traveler to leave the group, notifying local authorities, or canceling related services. Losses, additional costs, or unused services resulting from the aforementioned reasons shall, in principle, be borne by the traveler.
13. Health, Special Needs, and Medical Care
13.1 Travelers should ensure their health status is suitable for the chosen itinerary and truthfully disclose to MeetChina before booking any important health information, allergy history, mobility issues, dietary restrictions, pregnancy, chronic diseases, high-altitude contraindications, disabilities, or other special needs that may affect travel safety or service arrangements.
13.2 MeetChina will assist in arranging special needs within a reasonable and feasible range, but does not guarantee that all destinations, suppliers, vehicles, hotels, scenic spots, or activities can meet accessibility, medical, dietary, or other special requirements.
13.3 In an emergency, if a traveler is unable to make a decision, MeetChina and its representatives may, at their reasonable discretion, assist in contacting medical, rescue, insurance, police, embassies/consulates, emergency contacts, or other institutions. Resulting medical, rescue, evacuation, transportation, accommodation, translation, and other costs shall be borne by the traveler, unless otherwise provided by law or committed to in writing by MeetChina.
14. Passports, Visas, Permits, and Entry Requirements
14.1 Travelers are responsible for ensuring they hold valid passports, visas, entry permits, health certificates, vaccination certificates, travel documents, travel authorizations for minors, and other documents required by the destination or transit points.
14.2 Unless otherwise agreed in writing, a traveler's passport should be valid for at least six months after the itinerary end date and comply with the requirements of destinations, transit points, airlines, railway companies, border control, or other competent authorities.
14.3 MeetChina may provide information and assistance for visas, permits, or sensitive area permits within a reasonable scope, but does not guarantee that any application will be approved. MeetChina shall not be liable for inability to travel, refusal of boarding/entry/transit, itinerary changes, or extra costs caused by the customer's documents, visas, entry permits, health certificates, permits, personal records, government reviews, or border authority decisions, except those caused by the fault of MeetChina.
15. Travel Insurance
15.1 MeetChina strongly recommends and may require all travelers to purchase travel insurance covering medical care, accidental injury, itinerary cancellation or interruption, baggage loss, emergency rescue, medical evacuation, and high-risk activities before departure, and to provide insurance information or a copy of the medical insurance card before departure.
15.2 MeetChina may provide information on third-party insurance or rescue services at the customer's request, but unless otherwise explicitly stated in writing, MeetChina is not the insurer, insurance broker, insurance agent, or rescue service provider. Insurance coverage, exclusions, claim conditions, emergency rescue, and evacuation services are subject to the terms of the insurance company or service provider.
15.3 Customers should confirm for themselves whether the insurance covers their destination, activity type, pre-existing conditions, high altitude, outdoor activities, cancellation reasons, and other related risks.
16. Minors
16.1 If a booking includes a minor under the age of 18, the person making the booking confirms that they are the parent or legal guardian of the minor, or have obtained full authorization from the parent/legal guardian, and agrees to accept these Terms on behalf of the minor.
16.2 The person making the booking and the accompanying adults shall be responsible for the minor's behavior, safety supervision, health information disclosure, document preparation, entry/exit documents, medical authorization, and emergency communication during the itinerary.
16.3 MeetChina may require written authorization from the minor's parents or legal guardians, identity certificates, emergency contacts, and other necessary documents.
17. Photography, Video, and Portrait Use
17.1 MeetChina may take photos, videos, or other visual materials during the itinerary for use in itinerary recording, customer service, brand promotion, website display, social media, marketing, or internal training.
17.2 For personally identifiable portraits, videos, or voices, MeetChina will use them for public publicity or commercial promotion only after obtaining the traveler's explicit consent. For images involving minors, explicit consent from their parents or legal guardians shall be obtained.
17.3 If a traveler does not wish to be photographed or does not wish for their images to be used, they should inform MeetChina or the guide in writing before or during the itinerary. MeetChina will make reasonable efforts to respect such choices but cannot guarantee that travelers will not appear in public places, group photos, or content captured by third parties.
18. Personal Information and Privacy
18.1 To process inquiries, quotations, bookings, payments, visa or permit assistance, accommodation, transportation, insurance, emergency contact, safety management, customer service, and legal compliance, MeetChina may collect and use traveler names, contact details, passport information, date of birth, nationality, document details, health or insurance information, dietary preferences, emergency contacts, payment information, and other itinerary-related information.
18.2 MeetChina may provide relevant information to hotels, airlines, railway companies, vehicle companies, guides, local ground handlers, scenic spots, insurance or rescue service providers, payment institutions, government agencies, visa or permit handling agencies, and other necessary third parties to the extent necessary to achieve the above purposes.
18.3 MeetChina will take reasonable measures to protect the security of personal information and will only retain relevant information for the period necessary to achieve the collection purpose, perform contracts, handle disputes, and meet legal or regulatory requirements. Customers may request access to, correction, or deletion of personal information through the contact details listed in these Terms, except as required by law to be retained or as necessary for contract performance or dispute resolution.
19. Chargebacks, Refund Disputes, and Fees
19.1 If customers have questions about payments, services, or refunds, they should first communicate with MeetChina through the contact details listed in these Terms so that both parties can verify orders, supplier costs, cancellation policies, and refund amounts.
19.2 If a customer initiates a credit card chargeback, payment dispute, or payment reversal without reasonable communication with MeetChina, MeetChina has the right to submit orders, service details, cancellation policies, communication records, supplier vouchers, and other evidence to the payment institution.
19.3 If a chargeback or payment dispute is found to be groundless or malicious, the customer shall bear reasonable bank charges, payment institution fines, administrative costs, and reasonable expenses incurred by MeetChina to recover the amount due, except as prohibited by law.
20. Complaints, Claims, and Dispute Resolution
20.1 If a traveler has an objection to the service during the itinerary, they should inform the guide or MeetChina as soon as reasonably feasible so that timely remedies can be taken. If the traveler fails to notify in time, resulting in the inability to verify the problem, expansion of losses, or loss of opportunity for remedy, MeetChina may assert corresponding defenses in accordance with the law.
20.2 For complaints or claims made after the itinerary, travelers should provide order information, factual descriptions, relevant vouchers, photos, videos, receipts, medical records, or other evidence in writing as much as possible within 30 days after the end of the itinerary. Failure to notify within 30 days does not naturally exclude the traveler's legal rights but may affect factual investigation and liability determination.
20.3 Both parties shall first resolve disputes through friendly consultation. Unless otherwise mandated by law, if a dispute remains unresolved within 60 days from the date one party issues a written dispute notice, either party may submit it to arbitration or take other applicable legal proceedings in accordance with Section 21 of these Terms.
20.4 This article does not limit the right of consumers to file complaints or apply for relief with competent regulatory authorities, consumer protection agencies, payment institutions, insurance companies, or other legal channels in accordance with the law.
21. Governing Law and Dispute Resolution Body
21.1 Unless otherwise explicitly agreed in writing in specific itinerary documents, these Terms shall be governed by and interpreted in accordance with the laws of the Hong Kong Special Administrative Region.
21.2 Any dispute arising from or in connection with these Terms, bookings, payments, cancellations, refunds, itineraries, or related services shall first be subject to friendly consultation as per Section 20. If consultation fails, the dispute shall be submitted to the Hong Kong International Arbitration Centre (HKIAC) for arbitration in Hong Kong in accordance with the HKIAC Administered Arbitration Rules in force at the time of submission. The seat of arbitration shall be Hong Kong. There shall be one arbitrator. The language of arbitration shall be Chinese, unless otherwise agreed by the parties in writing.
21.3 If the customer is a consumer and applicable law mandatorily grants the customer the right to seek relief from specific courts, regulatory authorities, or consumer dispute resolution bodies, these Terms do not exclude such mandatory rights.
22. Language, Notices, and Contact Information
22.1 These Terms may be provided in Chinese, English, or other languages. In case of any inconsistency between different language versions, the Chinese version shall prevail unless otherwise mandated by law or agreed in writing by both parties.
22.2 Important notices regarding bookings, cancellations, refunds, complaints, or disputes shall be sent via email or other written means confirmed by both parties.

23. Changes to Terms, Severability, and Entire Agreement
23.1 MeetChina may update these Terms from time to time. For bookings that have been confirmed and paid for, the terms in effect at the time of booking confirmation generally apply, except for legal requirements, safety reasons, mandatory supplier rules, or customer consent.
23.2 If any part of these Terms is found to be invalid, illegal, or unenforceable, that part shall be deleted or adjusted to the necessary extent without affecting the validity and enforceability of the remaining terms.
23.3 These Terms, quotations, itinerary confirmations, invoices, payment records, supplementary written agreements, and customer confirmation documents together constitute the entire agreement between the parties regarding the relevant booking.
24. Customer Confirmation
Customer Confirmation: I have carefully read and understood these Terms, especially the clauses regarding pricing and payment, cancellation and refund, force majeure, risk warnings, health and document responsibilities, third-party suppliers, limitation of liability, personal information, and complaints and dispute resolution; I have obtained authorization to accept these Terms on behalf of fellow travelers and agree to be bound by these Terms.
