1. Scope of Terms and Acceptance
Important Service Notice: MeetChina mainly provides travel information consulting, service coordination, destination suggestions, and cultural exchange support services. Where accommodation, transportation, admission, activities, or other third-party services are involved, such services are usually provided directly by independent third parties; MeetChina only provides information collation, communication coordination, and liaison support within the scope entrusted by the customer.
1.1 These Terms and Conditions (the “Terms”) apply to any inquiry, service request, payment, arrangement confirmation, participation in related activities, or acceptance of travel information consulting, service coordination, destination suggestions, cultural experience support, and other related services provided by MeetChina, whether submitted through the MeetChina website, email, instant messaging tools, third-party platforms, or other channels.
1.2 By accessing this website, submitting a service request, paying a deposit or any fee, signing an order or written confirmation document, or actually accepting the relevant arrangement, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you handle related matters on behalf of other fellow travelers, you confirm that you have obtained their full authorization and undertake to convey these Terms and important related information to them.
1.3 If these Terms conflict with a specific confirmation document, quotation, or written supplemental agreement, the specific document confirmed in writing by both parties shall prevail; however, the provisions concerning limitation of liability, risk warnings, cancellation and refunds, dispute resolution, and personal information handling shall continue to apply unless otherwise expressly agreed in writing by both parties.
2. Definitions
“MeetChina,” “we,” or “the Company” means MeetChinatour Limited and its authorized representatives.
“Customer,” “you,” or “user” means the individual who submits a service request, makes payment, or accepts the relevant arrangement, as well as any fellow traveler acting through them.
“Service Arrangement” means the travel information consulting, service coordination, destination suggestions, experience support, or related auxiliary services confirmed between the Customer and MeetChina.
“Service Fee” means the service fees confirmed by both parties, excluding personal expenses not expressly listed in the quotation (for example, visa fees, insurance fees, international air tickets, service tips, optional items, payment processing fees, exchange rate differences, and other additional charges).
“Third-Party Supplier” means any independent third party that actually provides the relevant service, such as hotels, airlines, railway companies, vehicle companies, shipping companies, scenic spots, restaurants, guides, local host providers, insurance companies, and rescue service providers.
“Force Majeure” means events beyond the reasonable control of both parties, which could not have been foreseen, or which, even if foreseen, could not have been avoided or overcome, including but not limited to natural disasters, extreme weather, epidemics or public health events, war, terrorism, civil unrest, strikes, government restrictions, border closures, traffic controls, mass flight or train cancellations, scenic area closures, policy changes, and other similar events.
3. Quotations, Service Information, and Confirmation
3.1 MeetChina will provide quotations based on the requirements, number of participants, dates, service content, activity preferences, and other information you provide. Unless otherwise stated in the quotation, prices are generally based on the specified number of participants, specified dates, specified service level, and third-party prices available at the time of quotation.
3.2 The validity period of a quotation is subject to the quotation document; if not stated, it is valid for 7 days from the date of issue. Expiry of the validity period, changes in third-party prices, exchange-rate fluctuations, tax adjustments, changes in available resources, or changes in customer requirements may lead to price adjustments.
3.3 Descriptions of images, timing, transportation, accommodation, venues, meals, and activities are reasonable estimates or planned arrangements. MeetChina will use reasonable efforts to ensure that the information is accurate, but the relevant arrangements may need to be adjusted due to transportation schedules, government policies, venue rules, weather, road conditions, third-party arrangements, or other operational factors.
3.4 Relevant Service Arrangements shall only become effective after MeetChina issues written confirmation and receives the corresponding deposit or full payment. MeetChina reserves the right to refuse or adjust the arrangement before it is established due to sold-out resources, price changes, inability of third parties to confirm, failure to meet the minimum participant requirement, or other reasonable reasons.
4. Included and Excluded Services
4.1 The items included shall be subject to the specific quotation or confirmation document, and may include travel information consulting, service coordination, destination consulting, assistance with local experience arrangements, and other services expressly listed in the quotation or confirmation document.
4.2 Unless expressly stated in the quotation, the following expenses are usually not included in the Service Fee: international or domestic air tickets, visa fees, passport fees, travel insurance, personal consumption, laundry fees, telephone charges, beverage charges, excess baggage fees, tips, single-room supplements, optional items, meals not listed, additional transportation or accommodation costs incurred for personal reasons, payment platform fees, bank charges, exchange rate differences, and newly imposed charges by governments, third parties, or other institutions.
4.3 If the Customer requests an upgrade to accommodation, room type, transportation, guiding, catering, activities, or other services, or if additional costs arise due to the Customer’s own reasons, the corresponding price difference and expenses shall be borne by the Customer.
5. Payment Arrangements
5.1 Unless otherwise agreed in writing by both parties, the Customer shall pay a deposit of USD 300 per person upon confirmation. This deposit will be used for service preparation, communication and coordination, and reservation of relevant third-party resources (where applicable), and will be credited against the final balance.
5.2 The final balance shall be paid in full no later than 45 days before the service start date. If the confirmation date is less than 45 days before the service start date, the Customer shall pay the full amount in one lump sum upon confirmation.
5.3 If the Customer fails to pay any amount on time, MeetChina has the right to suspend the relevant arrangement, release reserved resources, cancel the confirmation, and charge applicable fees in accordance with the cancellation and refund policy under these Terms.
5.4 The Customer shall ensure that payment information is true, valid, and lawful. Any delay or fees caused by banks, card schemes, payment institutions, exchange rates, cross-border payments, anti-money-laundering reviews, payment failures, or chargebacks shall, except where caused by MeetChina’s fault, be borne by the Customer.
6. Customer Cancellation and Refund Policy
6.1 If the Customer wishes to cancel a confirmed Service Arrangement, MeetChina must be notified in writing. The cancellation date shall be the date on which MeetChina actually receives the Customer’s written cancellation notice.
6.2 Unless a more stringent or more favorable arrangement is set out in the specific confirmation document, the following cancellation fee schedule applies when the Customer cancels for personal reasons:
46 days or more before the service start date: the USD 300 deposit per person is non-refundable. The deposit is used to cover confirmation, communication, resource reservation, and administrative costs already incurred.
30 to 45 days before the service start date: 20% of the total Service Fee. Any deposit already paid may be credited against the cancellation fee; if the amount already paid is insufficient, the Customer shall pay the shortfall.
11 to 29 days before the service start date: 50% of the total Service Fee. This applies where the relevant third-party resources have been substantially arranged.
Within 10 days before the service start date (including the day of service) or after the service has started: 100% of the total Service Fee. Cash refunds are, in principle, not provided; MeetChina may, at its discretion, provide future service credit based on the actual refund outcome from third parties.
6.3 Cancellation fees are calculated based on the Service Fee. Any deposit already paid will be credited against the applicable cancellation fee; if the applicable cancellation fee is lower than the amount already paid, the deposit is, in principle, non-refundable. If the applicable cancellation fee exceeds the amount already paid, the Customer shall pay the shortfall. MeetChina will not charge the same cost twice.
6.4 For premium custom arrangements, peak-season resources, third-party charges that have been confirmed but are non-refundable or non-amendable, specially hired guides or drivers, special events, permits, venue reservations, third-party experiences, or other non-cancellable/non-refundable items, if the third-party rules are stricter than the cancellation fee schedule above, the Customer shall bear the relevant non-recoverable costs. MeetChina will provide relevant explanations or supporting documents to the extent reasonably practicable.
6.5 If the Customer cancels within 10 days before the service start date, the cancellation fee shall, in principle, be 100% of the Service Fee. If the Customer cancels due to serious illness, accidental injury, a major life event affecting an immediate family member, or other special circumstances, and can provide reasonable proof, MeetChina may, depending on the actual refund outcome from third parties and the operating situation, provide part of the future service credit at its discretion. Future service credit does not constitute an obligation to make a cash refund, and its amount, validity period, scope of application, and limitations shall be subject to MeetChina’s written confirmation.
6.6 Once the cancellation has been confirmed and the final refundable amount determined under these Terms, MeetChina will refund the amount to the Customer’s original method of payment (such as the original credit card, debit card, or Stripe account) within 7 to 14 business days. After the refund is initiated, the Customer will receive an automatic confirmation email sent by MeetChina. Please note that the actual time for funds to arrive may vary depending on the processing cycle of the issuing bank, card scheme, or financial institution, which is beyond MeetChina’s direct control. Whether payment platform fees, exchange losses, or bank charges are refundable depends on the rules of the relevant payment institution and financial institution.
7. MeetChina Cancellation, Rescheduling, and Minimum Participant Requirement
7.1 MeetChina reserves the right to cancel, reschedule, or adjust the relevant arrangement due to insufficient minimum participant numbers, inability of third parties to confirm, material changes in prices or resources, safety risks, government policies, Force Majeure, or other reasonable operational reasons.
7.2 If MeetChina cancels a Service Arrangement that has not yet started for reasons not caused by the Customer and not due to Force Majeure, the Customer may choose to accept an alternative arrangement, reschedule, receive future service credit, or obtain a refund of the paid but unused service fees.
7.3 If the relevant arrangement cannot proceed as planned due to Force Majeure or events beyond MeetChina’s reasonable control, Clause 9 of these Terms shall apply.
8. Service Changes, Alternative Services, and Unused Services
8.1 MeetChina will use reasonable efforts to provide the services in accordance with the confirmation document. However, due to transportation schedules, road conditions, weather, venue closures, government policies, third-party adjustments, holiday restrictions, public safety, or other operational factors, MeetChina may make reasonable adjustments to the order of services, mode of transportation, accommodation, meals, activities, or points of visit without reducing the overall service standard.
8.2 If the originally planned accommodation, transportation, venue, meals, or activities cannot be provided, MeetChina will use reasonable efforts to arrange services of the same standard or a reasonable alternative. If the alternative service costs less and MeetChina actually receives a refund, MeetChina will refund the difference after deducting reasonable costs or return it in the form of service credit. If the alternative service costs more, whether a price difference needs to be paid shall be confirmed in writing by both parties.
8.3 In principle, if services are unused due to the Customer’s own reasons (for example, lateness, absence, departure, early termination, refusal to participate, health condition, document issues, visa issues, violations of law or regulations, or failure to cooperate with safety requirements), no refund shall be provided.
9. Force Majeure and Events Beyond Control
9.1 If Force Majeure or events beyond the reasonable control of both parties cause the service to be unable to start or continue, or require material adjustment, MeetChina has the right to take measures according to the actual circumstances, including rescheduling, adjusting the route, providing alternative services, canceling part of the items, issuing service credit, or providing a refund.
9.2 If the service has not yet started, MeetChina will refund the balance or provide service credit according to the Customer’s choice after deducting incurred and non-recoverable third-party costs, fees for services already provided, and reasonable administrative costs.
9.3 If the service has been partially performed, MeetChina will handle the remaining amount after deducting the fees for services already performed, costs already incurred, non-recoverable third-party costs, and reasonable additional expenses incurred to protect the Customer’s safety.
9.4 Accommodation, meals, transportation, visa, medical, evacuation, communication, rescheduling, or other costs arising from Force Majeure shall, unless otherwise required by law or expressly promised in writing by MeetChina, be borne by the Customer. MeetChina will assist the Customer, to the extent reasonably practicable, in communicating with third parties, insurance companies, or relevant institutions.
10. Risk Notice and Voluntary Assumption by the Customer
10.1 The Customer acknowledges that travel, especially cross-border travel, travel to remote areas, outdoor activities, high-altitude activities, hiking, cycling, boating, long-distance driving, and other experience-based activities, may involve inherent risks different from ordinary daily life.
10.2 Such risks include, without limitation: differences in the standards of roads, vehicles, boats, accommodation, or facilities; altitude sickness; weather changes; transportation delays or accidents; illness, injury, or insufficient emergency medical resources; inability to evacuate promptly; political or social events; theft; risks arising from animals, plants, terrain, water, or outdoor environments; physical exertion; alcohol consumption or poor personal judgment; and the conduct of third-party suppliers or other persons.
10.3 The Customer should select arrangements suitable to their age, health condition, physical fitness, experience, risk tolerance, and interests, and shall comply with safety instructions provided by relevant personnel, third parties, venues, local authorities, and MeetChina.
10.4 This risk notice does not exclude or limit liability that cannot be excluded or limited by law, including liability for death or personal injury caused by MeetChina’s own negligence, fraud, wilful misconduct, or any other liability that cannot be excluded by law.
11. Third-Party Suppliers and MeetChina’s Liability
11.1 MeetChina mainly provides travel information consulting, service coordination, and third-party liaison support, and may assist customers in connecting with accommodation, transportation, catering, venues, activities, guides, insurance, rescue, and other related third-party services when necessary. Third-party suppliers are independent contractors and are not employees, agents, or partners of MeetChina. Unless otherwise stated in writing in a specific document and to the extent permitted by law, MeetChina does not directly provide regulated travel agency or carriage services in its own name.
11.2 MeetChina will exercise reasonable care in selecting, coordinating, and liaising with third parties. For services provided directly by third parties, MeetChina shall not be liable for acts, negligence, delays, cancellations, service defects, accidents, or losses beyond its reasonable control; however, if a loss is directly caused by MeetChina’s failure to exercise reasonable care, MeetChina shall bear the corresponding liability in accordance with law.
11.3 To the maximum extent permitted by law, MeetChina shall not be liable for the following losses: losses caused by the Customer’s personal reasons; losses caused by the Customer’s violation of laws and regulations, visa conditions, or safety instructions; acts or omissions of third parties beyond MeetChina’s reasonable control; losses caused by Force Majeure; non-refundable air tickets, visa fees, equipment fees, medical expenses, or other indirect expenses incurred by the Customer in preparation for travel; loss of profit, loss of goodwill, mental distress, punitive damages, or indirect, incidental, or special losses, unless otherwise required by law.
11.4 Nothing in these Terms is intended to exclude or limit liability that cannot be excluded or limited by law. If any liability limitation provision is held invalid or unenforceable, the validity of the remaining provisions shall not be affected.
12. Customer Responsibilities, Code of Conduct, and Safety Cooperation
12.1 The Customer shall assemble on time, comply with the confirmed arrangements, respect local laws, culture, religion, customs, and public order, and properly safeguard personal belongings, documents, valuables, and medicines.
12.2 The Customer shall not engage in unlawful, dangerous, harassing, abusive, violent, discriminatory, out-of-control drinking, property-damaging, or otherwise behavior that affects the safety and experience of other participants.
12.3 If the Customer’s conduct may endanger the Customer, other participants, guides, drivers, third parties, or public safety, or seriously affect the normal progress of the arrangement, MeetChina or its representatives have the right to take reasonable measures, including refusing the Customer’s continued participation in part or all of the arrangement, requiring the Customer to leave, notifying local authorities, or canceling the relevant services. Any resulting losses, additional costs, or unused services shall, in principle, be borne by the Customer.
13. Health, Special Needs, and Medical Assistance
13.1 The Customer shall ensure that their health condition is suitable for the selected arrangement and shall truthfully inform MeetChina before confirmation of any important health information that may affect safety or service arrangements, including allergies, mobility limitations, dietary restrictions, pregnancy, chronic illnesses, high-altitude contraindications, disabilities, or other special needs.
13.2 MeetChina will assist with special needs to the extent reasonably practicable, but does not guarantee that all destinations, third parties, vehicles, accommodation, venues, or activities can meet accessibility, medical, dietary, or other special requirements.
13.3 In an emergency, if the Customer is unable to make decisions, MeetChina and its representatives may, within reasonable discretion, assist in contacting medical services, rescue services, insurance providers, police, consulates or embassies, emergency contacts, or other institutions. Any medical, rescue, evacuation, transportation, accommodation, translation, or other expenses arising therefrom shall be borne by the Customer unless otherwise required by law or expressly promised in writing by MeetChina.
14. Passport, Visa, Permits, and Entry Requirements
14.1 The Customer shall ensure, at their own expense, that they hold a valid passport, visa, entry permit, health certificate, vaccination certificate, travel documents, minor travel authorization, and any other documents required by the destination or transit point.
14.2 Unless otherwise agreed in writing, the Customer’s passport shall have at least 6 months of validity remaining after the service ends and shall comply with the requirements of the destination, transit point, airlines, railway companies, border inspection authorities, or other competent authorities.
14.3 MeetChina may, within a reasonable scope, provide information and assistance regarding visas, permits, or special-area permits, but does not guarantee that any application will be approved. Except where caused by MeetChina’s fault, MeetChina shall not be liable for inability to travel, denial of boarding/entry/transit, service changes, or additional costs resulting from the Customer’s documents, visa, entry permit, health certificate, permit, personal record, government review, or border control decisions.
15. Insurance
15.1 MeetChina strongly recommends and may require all Customers to purchase insurance before the service begins, covering medical treatment, accidental injury, service cancellation or interruption, baggage loss, emergency rescue, medical evacuation, and high-risk activities, and to provide insurance information or a copy of the medical insurance card before commencement.
15.2 MeetChina may, at the Customer’s request, provide information about third-party insurance or rescue services, but unless otherwise expressly agreed in writing, MeetChina is not an insurer, insurance broker, insurance agent, or rescue service provider. The scope of insurance, exclusions, claim conditions, emergency rescue, and evacuation services shall be subject to the terms of the relevant insurance company or service provider.
15.3 The Customer shall confirm on their own whether the insurance covers the destination, type of activity, pre-existing medical conditions, high altitude, outdoor activities, cancellation reasons, and other relevant risks.
16. Minors
16.1 If the Service Arrangement includes a minor under the age of 18, the person making the booking confirms that they are the minor’s parent or legal guardian, or that they have obtained sufficient authorization from the parent/legal guardian, and agree to accept these Terms on behalf of the minor.
16.2 The person making the booking and the accompanying adult travelers shall be responsible for the minor’s conduct, safety supervision, disclosure of health information, document preparation, immigration/travel documents, medical authorization, and relevant emergency contact arrangements.
16.3 MeetChina may require written authorization from the minor’s parent or legal guardian, identification, emergency contacts, and other necessary documents.
17. Photography, Video, and Portrait Use
17.1 MeetChina may take photographs, videos, or other visual materials during the relevant activities for service records, customer service, brand promotion, website display, social media, marketing, or internal training.
17.2 For any portrait, video, or voice that identifies an individual, MeetChina will only use such material for public publicity or commercial promotion after obtaining the Customer’s express consent. Any image involving a minor shall require the express consent of the minor’s parent or legal guardian.
17.3 If the Customer does not wish to be photographed or does not want their image to be used, they should notify MeetChina or relevant staff in writing before or during the activity. MeetChina will use reasonable efforts to respect that choice, but cannot guarantee that the Customer will not appear in public places, group photos, or third-party footage.
18. Personal Information and Privacy
18.1 For the purposes of handling inquiries, quotations, confirmations, payments, visa or permit assistance, accommodation, transportation, insurance, emergency contacts, safety management, customer service, and legal compliance, MeetChina may collect and use the Customer’s name, contact information, passport details, date of birth, nationality, document details, health or insurance information, dietary preferences, emergency contacts, and other information related to the relevant arrangements.
18.2 To the extent necessary to achieve the above purposes, MeetChina may provide the relevant information to accommodation providers, transportation providers, venues, guides, local host providers, third-party service providers, payment institutions, government authorities, visa or permit processing institutions, and other necessary third parties.
18.3 MeetChina will take reasonable measures to protect the security of personal information and retain relevant information only for as long as necessary to achieve the purposes of collection, perform the contract, handle disputes, and meet legal or regulatory requirements. The Customer may request access to, correction of, or deletion of personal information through the contact details set out in these Terms, except where retention is required by law or necessary for contract performance or dispute handling.
19. Chargebacks, Refund Disputes, and Fees
19.1 If the Customer has any questions regarding payment, services, or refunds, they should first communicate with MeetChina through the contact details set out in these Terms so that both parties can verify the order, third-party costs, cancellation policy, and refund amount.
19.2 If the Customer initiates a credit card chargeback, payment dispute, or payment reversal without first engaging in reasonable communication with MeetChina, MeetChina has the right to submit to the payment institution the order, service details, cancellation policy, communication records, third-party evidence, and other evidence.
19.3 If a chargeback or payment dispute is determined to be groundless or malicious, the Customer shall bear reasonable bank fees, payment institution penalties, administrative costs, and MeetChina’s reasonable costs incurred in recovering the outstanding amount, except where prohibited by law.
20. Complaints, Claims, and Dispute Resolution
20.1 If the Customer has any objection to the services during the relevant arrangement, they should notify the relevant staff or MeetChina as soon as possible so that remedial measures can be taken promptly. If the Customer fails to notify in time, resulting in the problem not being verifiable, the loss being aggravated, or the opportunity for remediation being lost, MeetChina may raise the corresponding defenses in accordance with law.
20.2 For complaints or claims raised after the relevant arrangement has ended, the Customer should, as far as possible, provide in writing within 30 days after completion the order information, statement of facts, relevant evidence, photos, videos, receipts, medical records, or other evidence. Failure to notify within 30 days does not automatically exclude the Customer’s legal rights, but may affect fact-finding and the determination of liability.
20.3 The parties shall first resolve disputes through friendly negotiation. Unless mandatory law provides otherwise, if a dispute remains unresolved within 60 days after either party issues a written dispute notice, either party may submit the dispute to arbitration under Clause 21 or pursue other applicable legal proceedings.
20.4 This clause does not limit the Customer’s right to lodge a complaint or seek relief under law through the competent regulatory authority, consumer protection agency, payment institution, insurance company, or other statutory channels.
21. Governing Law and Dispute Resolution Venue
21.1 Unless otherwise expressly agreed in writing in a specific document, these Terms shall be governed by and construed in accordance with the laws of the Hong Kong Special Administrative Region.
21.2 Any dispute arising out of or in connection with these Terms, confirmation, payment, cancellation, refund, relevant arrangement, or related services shall first be subject to friendly negotiation under Clause 20. If no settlement is reached, the dispute shall be submitted to the Hong Kong International Arbitration Centre (HKIAC) for arbitration in Hong Kong in accordance with the HKIAC Administered Arbitration Rules in force at the time of submission. The seat of arbitration shall be Hong Kong, there shall be one arbitrator, and unless otherwise agreed in writing by both parties, the language of arbitration shall be Chinese.
21.3 If the Customer is a consumer and applicable law mandatorily grants the right to seek relief before a particular court, regulatory authority, or consumer dispute resolution body, these Terms do not exclude such mandatory rights.
22. Language, Notices, and Contact Information
22.1 These Terms may be provided in Chinese, English, or other language versions. In the event of any inconsistency between different language versions, the Chinese version shall prevail unless otherwise required by law or otherwise agreed in writing by both parties.
22.2 Important notices regarding confirmation, cancellation, refunds, complaints, or disputes shall be served by email or other written means confirmed by both parties.

23. Amendments, Severability, and Entire Agreement
23.1 MeetChina may update these Terms from time to time. For arrangements that have already been confirmed and paid for, the Terms in effect at the time of confirmation shall ordinarily apply, except where required by law, for safety reasons, because of mandatory third-party rules, or with the Customer’s consent.
23.2 If any part of these Terms is found to be invalid, unlawful, or unenforceable, such part shall be deleted or adjusted to the minimum extent necessary, without affecting the validity and enforceability of the remaining provisions.
23.3 These Terms, quotations, confirmation documents, invoices, payment records, supplemental written agreements, and Customer confirmation documents together constitute the entire agreement between the parties concerning the relevant matters.
24. Customer Acknowledgment
Customer Acknowledgment: I have carefully read and understood these Terms, especially the provisions relating to pricing and payment, cancellation and refunds, Force Majeure, risk notices, health and document responsibilities, third-party services, limitation of liability, personal information, and complaints and dispute resolution; I have obtained authorization to accept these Terms on behalf of accompanying persons and agree to be bound by these Terms.
